Executive Assistant to the Head of School

Maret School, an independent K-12 school in Washington, DC, seeks an experienced executive assistant to work closely with the Head of School.  

The Executive Assistant to the Head of School is a critical member of Maret’s leadership team who provides quality, consistent, confidential, and professional support to the Head of School. The ideal candidate will be a confident self-starter, collaborator, and problem solver with a positive approach.

The individual must be able to work efficiently, independently, and under pressure at times, handling a wide range of activities and confidential matters with the utmost discretion, good judgement, high EQ, and cultural competency.

This job opportunity calls for an accomplished and motivated executive assistant who is detail-oriented while also able to see the big picture. The Executive Assistant to the Head of School will often be the first point of contact between the school and a wide range of its constituents.

General Responsibilities

The Executive Assistant to the Head of School will:

  • Support an atmosphere of trust and openness among all school constituencies
  • Strategize with the Head of School to organize and review daily priorities
  • Schedule, maintain, and confirm the Head of School’s appointments and calendar activities
  • Assist the Head of School with work and events related to the Board of Trustees and the leadership team
  • Prepare for and follow up, attend, and take minutes at full Board of Trustee, Board Committee, and leadership team meetings
  • Review the Head of School’s mail and determine what should be forwarded to the appropriate school administrator for response
  • Screen the Head of School’s phone calls and take messages
  • Make travel arrangements for the Head of School
  • Manage expenses for the Head of School’s budget
  • Compile information as requested, e.g., records, tables, reports, research
  • Plan and organize key school events and manage multiple projects simultaneously, prioritizing competing responsibilities to meet deadlines
  • Assume responsibility for other tasks and projects as assigned by the Head of School

Qualifications

  • Bachelor’s degree or equivalent
  • 5+ years of experience as an executive-level assistant or project manager
  • Outstanding interpersonal skills, integrity, and strong work ethic
  • Dedication to a high level of confidentiality, discretion, and anticipation of needs
  • Strong written, verbal, and visual communication skills
  • Excellent organizational and time-management skills
  • Attention to detail and resourcefulness
  • Technological savvy and excellent working knowledge of Microsoft Office Suite (Word, PowerPoint, Excel) and Google Drive (Docs, Sheets, Slides, Forms)
  • Proven success at working collaboratively and efficiently
  • Ability to make quick decisions, take initiative, and prioritize tasks
  • Commitment to the Mission and Philosophy of the School
  • Warm, welcoming, and helpful demeanor, with a good sense of humor, joy, and patience
  • High-energy and enthusiastic about working in an academic atmosphere
